Printing Worksheets

  • Recognise that printing, in Excel, allows you to produce a hard copy of your worksheets or selective data.
  • Understand that before printing, you should use the Print Preview to verify that your document will print to your specifications.
  • Learn how to adjust your worksheet’s orientation between Portrait (vertical) and Landscape (horizontal) depending on what best fits your data.
  • Know how to use Scaling Options to resize your worksheet for print. Excel offers fitting to one page, adjusting to a percentage of the normal size, or printing at the actual size.
  • Remember to set proper Margins; margins are the blank spaces around the edges of the printed page. Excel lets you adjust the top, bottom, left, and right margins.
  • Understand that you can choose to print gridlines and row and column headings, these are helpful especially if your worksheet is large.

Extracts of Worksheets

  • Recall that to print select areas (extracts) of a worksheet, you need to set the Print Area. A print area is one or more ranges of cells that you designate to print when you don’t want to print the entire worksheet.
  • Understand that setting the print area is important to ensure you’re only printing the information that you need.
  • Learn that you can also print a defined Named Range or a Table in Excel.

Printing Charts

  • Know that you can print a chart directly without printing the entire worksheet. Select the chart and then proceed to print.
  • Remember that you can adjust the size of the chart on the print page to fit your needs.
  • Understand that all the various print settings discussed above apply to charts as well.
  • Note that chart titles, labels, and legends are very helpful when printed, enhancing readability and understanding. Ensure they are clearly visible and comprehensible in the Print Preview before printing.

Troubleshooting Print Problems

  • Familiarise yourself with common print problems such as print area too large, poor resolution, or lost data, and know corresponding solutions such as adjusting the scale, checking printer settings, or ensuring the print area includes all necessary data.
  • Learn how to use the Page Break Preview to adjust where pages will be separated when printed.
  • Appreciate that practicing with different scenarios and settings will make it easier to troubleshoot print problems in the future.
