Using Comments

Understanding Comments

  • Understand that comments are used in spreadsheets to add notes and extra information to cells.
  • Recognise that comments do not appear in the cell itself but in a separate comment box that appears when you move your cursor over the cell with the comment.
  • Appreciate that comments can be useful for clarification purposes and to avoid confusion when multiple people are collaborating on a spreadsheet.

Adding, Viewing and Navigating Comments

  • Learn how to add a comment to a cell through the ‘Review’ tab in the ribbon, and then selecting ‘New Comment’.
  • Know how to navigate through comments using the ‘Previous’ and ‘Next’ buttons in the ‘Comments’ section of the ‘Review’ tab.
  • Understand that you can view all comments at once by clicking ‘Show All Comments’ in the ‘Review’ tab.

Editing and Deleting Comments

  • Recognise that comments can be edited by selecting the cell with the comment and then choosing ‘Edit Comment’ from the ‘Review’ tab in the ribbon.
  • Know how to delete a comment by selecting the cell with the comment and then choosing ‘Delete Comment’ from the ‘Review’ tab.
  • Be aware that comments can also be deleted by right-clicking a cell with a comment and then selecting ‘Delete Comment’ from the context menu.

Comment Formatting and Visibility

  • Learn that you can change the size, font, and colour of text in a comment box.
  • Understand that you can control the visibility of comments and decide whether they appear when the cursor is moved over a cell, or whether they remain visible at all times.
  • Remember to review all comments before printing, comments won’t print by default but you can adjust the settings if needed.

Collaboration and Comments

  • Know that when collaborating on a spreadsheet, each person’s comments can be seen by others, making it a useful tool for discussion and problem-solving.
  • Recognise that responses to a comment can also be added, which is particularly helpful for ongoing discussion or follow-up queries.
  • Understand that you can @ mention a person in a comment if you want to ensure they see a specific note or question.
