Understanding Print Menu
- Familiarise oneself with the print menu in your chosen software. This is where all print settings are configured.
- Take note of the ‘Printer’ dropdown menu to ensure the selected printer is correct.
- Be aware of the ‘Copies’ section, which indicates how many copies of the document you want to print.
Printing Whole Documents
- Use the ‘Print All’ option when all pages in your document need to be printed.
- Be mindful of the ‘Collated’ tick box. Ticking this box means that if printing multiple copies, they will print out whole before the next copy begins.
Printing Extracts of Documents
- Make use of the ‘Print Range’ option when specific pages or range of pages need to be printed.
- Identifying the range of pages can be done in the ‘Pages’ textbox, specifying the start and end page separated by a dash (e.g. 1-5).
Advanced Print Settings
- Learn how to change the orientation. This switches between ‘Portrait’ or ‘Landscape’.
- Manipulate settings like output quality, and ‘grayscale’ printing to manage printer’s ink usage.
- Explore the ‘Scale To Fit’ paper option, which will automatically resize the document to fit the specified paper size.
Double-sided Printing
- Discover the print on both sides feature, a useful way to save paper when printing large documents.
- Ensure understanding of the two types of duplex printing: ‘Long-edge binding’, which turns the page like a book, and ‘Short-edge binding’, which flips the page along the short edge.
Final Pre-Print Checks
- Always consider the ‘Preview’ function before finalising the print job. This provides a glimpse of how your printed document will look and helps in spotting any potential errors.
- Lastly, remember to save your document before printing, to ensure all recent changes are included in the printout.
