Planning process
Defining the Sport Event Concept
- Identifying the sports event: Choose the specific sport that will be the focus of the event, considering interest levels, facilities available, and participant skill level.
- Event objectives: Establish clear, measurable, and realistic goals for what the event aims to achieve, such as raising funds, awareness, or providing a competitive platform for athletes.
- Target audience: Pinpoint who the event is for - the local community, school teams, amateur athletes or professional participants. This will influence many other aspects of planning.
Resource Planning
- Venue selection: Assess different locations taking into account size, facilities, accessibility, and appropriateness for the chosen sport.
- Budgeting: Create a financial plan that includes all possible costs - hiring the venue, equipment, staff, transportation, food and drink etc.
- Staff requirements: Determine the number and roles of staff or volunteers needed, such as referees, first aiders, support staff, and officials.
Event Specifics
- Date and time: Decide on a suitable date and time based on the targeted audience availability, venue and weather considerations (if outdoors).
- Event format: Plan the structure of the event - will it be a tournament, a single match, individual or team-based events, and the duration of each game.
- Health and safety considerations: Conduct a thorough risk assessment to identify potential hazards and how to mitigate them.
- Equipment needs: List all the equipment necessary for the sport, as well as other logistical needs such as sound systems or seating for spectators.
Event Promotion
- Marketing strategy: Plan how to publicise and promote the event through various channels including posters, social media, and word of mouth.
- Registration: Organise an efficient process for athletes or participants to sign up for the event, considering whether this will be done online, in person, or both.
- Event programme: Design a detailed schedule or programme for the day so that participants and spectators know what to expect.
